Benefits to Electronic Filing Forms 1095-B and 1095-C (AIR)

Think twice before paper filing ACA forms. Here is a list of reasons why you should file 1095 forms electronically rather than by paper.

Extra month. Employers have until the end of February to paper file the 1095 forms to the IRS. You have until the end of March to file electronically. That one month bonus can be extended by filing an online extension giving you until the end of April.

Proof of Submission. You upload your files electronically to the IRS and will receive a Receipt ID and date/time stamp as to when you uploaded. You can log into the IRS website and check your file status. The submission status and Receipt ID is your proof that your organization submitted their ACA filings for a particular reporting year. It also confirms the date and time you transmitted your data.

Timely Results. There is always great joy and happiness after you print and mail ACA forms to the IRS. But if an error exists in your data, the IRS will send you a letter in August or September of that year letting you know that they want you to resubmit your forms. Filing electronically gives you results within a few days and the error report will let you know of any errors which you can correct electronically.

XML Schema Validation. Our 1099FIRE software will create the XML for electronic filing and then cross-check the XML created against the schema provided by the IRS. The software will find any and all schema validation errors before efiling. You can correct and check your data for any XML schema validation errors and let The first check is run when you import your data into the software.

Corrections. Our 1099FIRE software can file 1094-C, 1095-B and 1095-C corrections. The software has an easy way to import in your error report from the IRS along with the original excel file that you used to generate corrections for 1095-B and 1095-C data. You can then transmit just those corrected records electronically to the IRS.

State Filing. Massachusetts, New Jersey the District of Columbia require that you submit ACA data to them electronically. California, Vermont, Rhode Island have individual state mandates starting 2021. One excel file is used to import into the software to generate the federal and all state filing requirements.
